Template email containing instructions for participation in the data blitz

Before you send it out you'll need to update the template with the following information:

  • NAME OF CONFERENCE
  • LINK TO COMBINED SLIDES - a dropbox link to all the slides combined into one powerpoint presentation
  • PREVIOUS SPEAKER - the name of the speaker directly before the data blitz
  • LINE UP LOCATION - where you'd like the data blitz speakers to wait their turn
    • Eg: "the right hand side of the stage"
  • COORDINATOR'S NAME - so you can sign off the email!

Hi everyone

I hope you've enjoyed putting your slides together and are looking forward to [NAME OF CONFERENCE]!

Here are some organisational updates so you're ready to rock the data blitz tomorrow.

Slides

I've checked that everyone's slides look good on my laptop - all the animations seem to be working perfectly. They all look excellent too! Well done :)

Some of you had changed your title slides: I've reformatted them back to the template style now. This is partly to make the presentation look really cohesive but mostly just my personal compulsion to have everything just so!

Logistics

At the end of [PREVIOUS SPEAKER]'s talk please come down to the [LINE UP LOCATION] and line up in alphabetical order by last name.

I will give a very brief introduction and then you'll get started. As I'm introducing you please come up to the lectern. I'll start the 2 minute timer after I've read your name and you're off :)

Once you've finished your presentation please head back off to the same side of the stage. Please don't go back to your seat as we don't want to distract the audience from the next presentation.

Projection

You will not have a lapel microphone. You'll present from the lectern which has its own static microphone.

Remember to speak into the microphone. It is very tempting to turn away from it to look at the screen, but that can make it difficult for audience members to catch your words.

Timing

You will only have 2 minutes. You'll be stopped mid-sentence if you over run! Be prepared!

If you remember, please advance the slide at the end of your talk so that the title slide shows for the next speaker as they're walking up on stage to start their presentation.
